Scheduling Approved Technical Recommendations as One-Time Jobs

After a risk assessment, open technical recommendations that have been approved can be planned as one-time jobs for engineers to perform on site.
- Open the location containing the recommendations.
- Select the Recommendations tab from the location menu to view all technical recommendations for that location.
- Filter recommendations by status if needed; the list defaults to show items with status Approved.
- Multi-select the open recommendations you want to schedule.
- Use the scheduling option to add the selected recommendations to the control scheme as one-time activities. These activities are labeled One-time to differentiate them from recurring work.
Assigning Follow-Up Work in the Scheduler

After adding recommendations as one-time activities to the control scheme, you must assign a date and an engineer in the Scheduler to create the corresponding visit.
- Open the Scheduler and locate the one-time activities marked To plan.
- Select the activity you scheduled from the list.
- Assign a date for the visit on which the work will be carried out.
- Assign an engineer to perform the job.
- Confirm to create the visit. The visit may be grouped with other work or exist as a standalone job.
Completing Jobs and Closing Recommendations
When all the jobs linked to a recommendation are completed, the recommendation automatically closes without requiring manual sign-off.
- Verify that each suggested activity from the recommendation has at least one completed job.
- Note that partial completion does not close the recommendation; all linked activities must be done.
- Check the recommendation status and history to confirm closure.
- If needed, manual closure is possible by users with appropriate edit access, but typically the system closes recommendations automatically.
Important Details and Common Pitfalls
- Only approved recommendations can be scheduled: Drafts must be reviewed and approved first before scheduling is allowed. Approving a recommendation does not schedule it; scheduling is a separate action.
- Scheduling creates jobs but does not alter recommendation content: The original description, photos, or solution remain unchanged.
- One-time activities do not recur: Unlike recurring control-scheme activities, these jobs occur once.
- Scheduling permission is required: Only users with Manager roles and scheduling access can schedule follow-up work. Inspectors may approve recommendations but cannot schedule jobs unless granted scheduling rights.
