Add LRA templates

This article explains how to add different LRA (Long Reusable Activity) templates, known in the application as visit templates, to your download options. It is intended for managers and administrators who manage reusable inspection activity groupings used when scheduling visits.

Understanding Visit Templates

Visit templates are reusable groupings of activities for inspection visits, managed centrally in Organisation Settings. They allow you to quickly schedule visits with predefined sets of inspection activities. Templates have three scopes:

  • Organization: Templates available across the entire organisation.
  • Clients: Client-specific templates that can override organisation-level templates.
  • Locations: Per-location defaults such as default assignee settings.

Only users with the Manager, Admin, or Owner role can view or manage templates due to permissions restrictions.

Creating an Organisation-Wide Visit Template

Create reusable templates to standardize visit activity groupings across your organisation.

  1. Navigate to Organisation Settings > Visit Templates.
  2. Select the Organization scope tab.
  3. Click New Visit Template.
  4. Enter a Template Name and optionally a Description.
  5. Add activities by dragging from the Available Activities panel into the template.
  6. Leave the template scoped to organisation-wide by not selecting a client.
  7. Click Create.

Notes: You must enter a template name and include at least one activity. Avoid adding activity types that are already used in other templates to prevent conflicts.

Adding Client-Specific Visit Templates

To provide tailored activity groupings for a specific client, create client-scoped templates that extend organisation-wide templates.

  1. Go to Organisation Settings > Visit Templates.
  2. Select the Clients tab and pick the client.
  3. Click New Visit Template.
  4. Enter a name and add activities as required.
  5. Click Create.

Client templates merge with their organisation-level parent. If an activity type exists in both, the client template’s version overrides the parent’s for that client only.

Important: The client template must extend an organisation-level parent template that is organisation-scoped (no client specified). You cannot create a client template without such a parent.

Copying System Visit Templates

To quickly populate your organisation or client with standard templates, you can copy system visit templates.

  1. Open Organisation Settings > Visit Templates.
  2. Select the Organization tab or, for client scope, choose a specific client in the Clients tab.
  3. Click Copy System Visit Templates.

This copies system templates in extend mode, creating parent-child links with the source templates. Templates with activity type conflicts are skipped and not merged automatically.

Scheduling Visits Using Visit Templates

Once templates are available, you can schedule visits grouping the corresponding activity types.

  1. In the Scheduler, toggle the To plan view to show visit-template occurrences.
  2. Select a visit-template occurrence to review or edit the included activities.
  3. You can add or remove activity types for this scheduled occurrence only; the underlying template remains unchanged.
  4. Set the visit date and time, assign engineers, and confirm to create the visit with grouped jobs.

Alternatively, drag a visit template from the planning sidebar onto a calendar cell to open a pre-filled visit creation screen.

Note: Visit templates are managed only via Organisation Settings and not directly in the scheduler interface.
