Add an asset and link it to systems

This article explains how to add assets to a location and link them to the building systems that serve them. It is intended for engineers setting up locations or installing new equipment on-site.

Adding an Asset to a Location

To register equipment so it can be tracked for compliance, add an asset after the structures and areas are already set up, or when new equipment is installed on-site.

  1. Open the Structures tree. You can access asset creation either from the row actions of a structure or by using the floor plan editor at the floor level.
  2. In the floor plan editor, switch to Assets mode, open the Asset Library , and select an asset type by browsing categories, using recently used types, or searching.
  3. Place the asset on the plan by tapping the desired position or dragging the asset type onto the map.
  4. In the quick-edit panel that opens, enter the asset's Name and fill in the required dynamic compliance parameters for the asset type.
  5. Complete the basic fields: Serial Number , Manufacturer , Model , Code , and Description .
  6. Save the asset.

On saving, the rule engine evaluates compliance and risk rules to generate the asset's control schema activities and technical recommendations where applicable.

Note: Asset creation must be started from the Structures tree row actions or the floor plan editor. Do not attempt to add an asset by opening an area and then selecting add asset.

Completing an Asset’s Core Details

After placing or adding an asset, complete the asset record to ensure it is identifiable and linked correctly within the network.

  1. Open the asset’s detail panel.
  2. In the General section, enter the required Asset Number .
  3. Optionally, enter or scan a QR Code value to link the physical QR label to this asset.
  4. Set the Network Position as applicable and confirm the read-only Location .
  5. Explore other sections such as Parameters , Assessment , Linked Systems , Sensors , Linked Assets , and Cases to complete further details.
  6. Save any changes to store updates.

Important: In the consultant web app, the asset form only captures Asset Number, QR Code, and Network Position. Other details like manufacturer and model are not separately recorded there. The Asset Number is required and must be entered manually.

Linking an Asset to Building Systems

Connect the asset to one or more systems serving it to ensure compliance activities are correctly generated and tracked.

  1. Open the asset and go to the Linked Systems section.
  2. Click Link System and select one or more systems from the location’s available systems.
  3. Confirm each system link.

The link is visible on both the asset and the system. After linking, the control schema activities are recalculated to reflect the asset’s association with those systems.

Important: Systems must belong to the same location as the asset. Linking to systems at other locations is blocked by the platform. Linking is manual — the application does not suggest systems automatically, so each link must be verified.

Creating Systems Under a Structure

Before linking assets to systems, create the relevant building systems that serve the location.

  1. Open the target structure and go to its Systems section.
  2. Click Add System .
  3. Enter the System Name and choose the System Type .
  4. Optionally, set Operational Status , System Code , Location Details , and Description .
  5. Create the system.

Once systems are created, assets from any area within the structure can be linked to them.

Additional Tips

  • An asset can be linked to more than one system, such as multiple water systems.
  • System links can be removed to recalculate the asset’s control schema activities.
  • Assets can also be linked to other assets to model physical relationships, but that is managed separately from system links.
  • If an asset is added by a user role without approval rights, it will remain in a pending approval state until approved by an authorized user.
