Review the activities logbook checklist

This article explains how to review the activities logbook checklist within a risk assessment to confirm that scheduled compliance activities have been performed at their required frequencies. It is intended for engineers responsible for risk assessments.

Reviewing the Activities Logbook Checklist

Use the Logbook & Activities stage in a risk assessment to confirm that each scheduled compliance activity was carried out according to its required frequency.

  1. Open the risk assessment and go to the Logbook & Activities stage.
  2. From the asset-type category list, pick one category.
  3. Switch to the Activities tab to view compliance questions for that category. Each question corresponds to a specific activity type and frequency, grouped under the asset-type heading.
  4. For each compliance question, tap No or Yes. Use the comment icon to add an optional note if needed.
  5. Questions with matching completed jobs are pre-answered Yes and marked with an Auto badge. You may override these answers.
  6. Tap Save to store your answers for the category before moving to the next one.
  7. Repeat these steps for each asset-type category.
  8. Once finished with all categories, tap Mark as done to complete the stage.

Important notes:

  • The checklist only includes default activities from the location's compliance rules. Activities added through technical recommendations, cases, or custom additions are excluded.
  • Answers are saved per asset-type category. If you switch categories without saving, your unsaved answers will be lost.
  • Each category begins with a static question asking if a logbook exists. This question is auto-answered Yes when completed jobs are found but currently displays as a dash with no text.
  • Yes/No controls appear editable to users with job-edit access, but saving requires risk-assessment edit access. Users without this permission cannot save responses despite being able to answer the questions.

Verifying Completed Compliance Activities

Before confirming compliance activity answers, verify the recorded details of completed visits or jobs linked to the activities.

  1. Open the Location's Visits tab or Jobs tab.
  2. Select the date and open a completed visit or job entry.
  3. Inspect the recorded activity type, job status, measured readings and values, worker notes, and any photos taken in the field.

Note: Jobs will have a status of either COMPLETED or SKIPPED. Skipped jobs cannot be changed to completed; schedule a new job if needed.

Completing the Logbook & Activities Stage

After reviewing and answering all compliance activity questions for each asset type, complete the stage to proceed with the risk assessment.

  1. Ensure answers per asset-type category are saved by tapping Save.
  2. Review that all categories have been completed.
  3. Tap Mark as done on the Logbook & Activities stage to finalise this part of the assessment.

Additional Compliance Review Options

To gain further confidence that scheduled compliance activities occurred within their required timelines, use the Location's Logbook tab to review a comprehensive timeline of activities.

  1. Open the Location and select the Logbook tab.
  2. Use filters to narrow down events by date range and event type (e.g., Performed, Scheduled, Overdue, Escalated).
  3. Tap individual entries to open detailed views showing event specifics such as what happened, when, where, who performed it, and any notes.

This timeline provides a read-only chronological record of jobs, activities, incidents, and staff changes, aiding compliance tracing and verification.
