Finalise a risk assessment

This article explains how to finalise a risk assessment by marking it as complete. This action locks the assessment from further edits and prepares it for report generation. It is intended for inspectors responsible for completing assessments.

Review the Risk Conclusion

Before finishing a risk assessment, you should review the overall risk level, per-section scores, and write the professional conclusion narrative and summaries.

1. Open the risk assessment and go to the Risk Conclusion stage. This stage is only accessible once all other stages are marked done.
2. On the right, check the semicircular risk gauge under the Risk label to see the overall risk level, which ranges from "Very low" to "Very high". If it reads "Unassessed", this means data is still missing.
3. On the left, expand each risk-group section to review the individual Score (1–5) and any regime-specific questions.
4. Compare the gauge and the per-group scores to your professional expectation.
5. Expand the General conclusion field and enter your overall narrative in the Description field. This text auto-saves.
6. For each risk group, fill in the Score and any narrative fields provided.
7. Use the Executive Summary and Risk Summary fields on the right to either type your own text or select Generate to draft summaries. Review and save them by selecting Save.

Finish the Risk Assessment

Mark the risk assessment as finished to close it out and lock it from further edits.

1. In the risk assessment, open the Risk Conclusion stage.
2. At the bottom of the page (footer), select the Finish assessment button.
3. Read the confirmation dialog text carefully. It warns: "This will mark the assessment as complete. This action cannot be undone."
4. Confirm by selecting Finish assessment in the confirmation dialog.
5. The assessment will be marked as complete and removed from the default active list.

Important: Finishing an assessment is irreversible. You cannot reopen it to change any data afterward. The report does not need to be generated before finishing; however, once finished, the assessment is locked.

If you attempt to finish an assessment already marked complete, the button will display Finished and the system will report it as already finished with no further effect.

Generate the Risk Assessment Report

Once the risk conclusion is complete, you can generate the formal compliance report.

1. Open the risk assessment and navigate to the Generate Report section.
2. The Report Type, Site, and Risk Assessment fields are pre-filled and locked. The report type depends on the location's regime and will show either "PPCL — Plan de Prevención y Control de Legionella" or "PSL — Plan Sanitario de Legionella".
3. Optionally, select a Report Preset (defaults to "Default configuration").
4. Select Generate Report. The report status changes from "Processing" to "Ready" when complete.
5. If you need a fresh copy after changes or with a different preset, choose Regenerate.

You do not need to finish the assessment before generating the report; it will reflect the data as it stands at generation time. The report always covers the entire risk assessment scope without scope filtering at report time.

Download or Email the Risk Assessment Report

Once the report shows as Ready, you can save or share it.

1. To download, select Download to save the PDF locally.
2. To send by email, open the report from the Documents page and select Share.
3. Add one or more recipients from your organisation's active members (external emails cannot be entered), optionally add CC recipients, set the subject and message, then send.
4. Recipients receive an email with a secure download link valid for 24 hours (the PDF is not attached).

If the download link expires, you must re-share the report to provide a new link.

Additional Notes

• The Risk Conclusion stage remains locked until all other data-collection and review stages are marked done.
• Once finished, assessments are removed from the active list and cannot be edited again.
• Report language follows your app's display language: it will be produced in English only if your app language is English; otherwise, it defaults to Spanish.
