Collect compliance data at structure level

This article explains how to collect and record compliance data at the structure level during a risk assessment. It is intended for inspectors working with the BriqSafe application to evaluate a building’s compliance posture by managing and assessing its systems, areas, and assets.

Accessing Structure-Level Compliance Data

Structures are not a separate data-collection phase in a risk assessment, but their compliance is assessed through the systems, areas, and assets organized beneath them. To manage structures within a location:

  1. Open the location and use the View Structures button in the header.
  2. Navigate through the location’s buildings, floors, rooms, and equipment using the Structures tab.
  3. Switch views between Cards, Hierarchy, and Assets to browse structures, areas, and assets.

Recording System-Level Compliance Data

Systems represent the main way to capture compliance data at the structure level during a risk assessment.

  1. From Things to do, open the Systems tile and select a system to assess.
  2. In the General section, fill in System Name (required), Operational Status, and Description.
  3. Complete the Parameters section with regime-specific readings related to the system.
  4. Review the Linked Assets and Schematics sections as necessary.
  5. Set the Assessment toggle to Satisfactory or Unsatisfactory.
  6. Choose Confirm assessment to save your evaluation.

Note that there is no per-structure compliance form within the assessment. Instead, the compliance for each structure is reflected through its associated systems, areas, and assets.

Managing Areas and Their Compliance Data

Areas, such as rooms within a structure, are assessed separately and inherit facility type and control regime values from their parent structure.

  1. From Things to do, open the Areas tile and select an area.
  2. In the General section, enter the Area Name (required) and an optional Description.
  3. For rooms, set Occupancy to In Use or Vacant.
  4. Review inherited Facility Type and Control Regime; override if necessary, and clear overrides using the X button.
  5. Complete the Parameters section with readings related to the area.
  6. Check the automatic assessment status under Status, and adjust the Satisfactory/Unsatisfactory toggle if needed.
  7. Choose Save changes to update the area’s data.

Remember, the Occupancy field appears only for rooms. Changing an area’s type does not change its control regime; to adjust compliance requirements, update the parent structure’s facility type.

Capturing Asset-Level Compliance Data

Assets are individual pieces of equipment within areas, such as taps or boilers. Their compliance data is crucial to the overall building assessment.

  1. From Things to do, open the Assets tile and select an asset.
  2. In the General section, add photos and fill in Asset Number (required), QR Code, and Network Position (Near source, Mid network, or Far from source).
  3. The Location path is shown read-only.
  4. Complete the Parameters section with asset-type compliance readings, entered manually or via a linked sensor.
  5. Optionally review and manage Linked Systems, Sensors, Linked Assets, and Cases.
  6. In the Assessment section, set the Satisfactory or Unsatisfactory toggle, then choose Confirm assessment to save.

Note that the assessment toggle is disabled until the asset has at least one assessment triggered by saved parameters. Saving out-of-range parameter values automatically generates draft technical recommendations that require review.

Overriding the Automatic Assessment Results

Inspectors may need to manually adjust an object's assessment if their judgement differs from the automatic evaluation.

  1. Open the area, asset, or system to be changed and scroll to its Assessment or Status section.
  2. Once all fields are complete and the status automatically calculated, toggle Satisfactory or Unsatisfactory to override.
  3. When your selection differs from the automatic result, a banner will confirm the manual override.
  4. Save the object with Confirm assessment (for assets and systems) or Save changes (for areas) to keep the override.

You cannot clear an overridden assessment back to no status; the toggle becomes binary. Read-only users cannot change the assessment.

Important Considerations

  • There is no dedicated compliance form for structures inside the assessment; compliance is evaluated through their nested systems, areas, and assets.
  • Facility Type and Control Regime values are inherited from the parent structure and displayed as inherited. Changing an object’s type does not reassign its control regime.
  • The compliance control regime of a structure drives which compliance activities and assessments apply throughout its descendents.
  • Only four data-collection phases exist in the assessment: Location, Systems, Areas, and Assets.
  • Read-only users can view data but do not have access to Confirm assessment or Save changes buttons.
