This article explains how to collect compliance data at the area level within a risk assessment. It is intended for inspectors who need to enter and review an area’s details, parameters, and assessment status.
NoteRequired role: Inspector
Open an Area and Enter General Information
Start by opening the area you want to assess and fill in its basic details.
- From the Things to do list, open the Areas tile.
- Select the desired area from the list of areas.
- In the General section, enter the Area Name . This field is required.
- Optionally, enter a Description to add more details about the area.
- If the area is a room, set Occupancy to either In Use or Vacant . This affects the compliance activities for that room.
Review Facility Type and Control Regime
The area inherits these values from its parent structure but you can override them if needed.
- Look at the Facility Type and Control Regime fields. Both are marked as inherited from the parent structure.
- If relevant, override either by selecting a different value.
- To clear an override, click the X button next to the override warning.
Note: Changing the area's facility type does not automatically reassign its control regime. The area always inherits the control regime directly from the parent structure.
Complete Parameters
Fill in all required compliance parameters for the area.
- Scroll to the Parameters section.
- Enter values for all required parameters.
Important: Parameters save first. If a required parameter is missing, the system will block saving the entire area to prevent incomplete data.
Check and Adjust Status
After entering all data, the area is automatically assessed. You can review or override the assessment result as needed.
- Scroll to the Status section.
- Once all fields are complete, the area’s status will be set automatically and indicated as Automatically calculated below the toggle.
- If you disagree with the automatic evaluation, switch the toggle between Satisfactory and Unsatisfactory to override it.
- A banner will appear indicating the assessment has been manually overridden.
Note: Once saved, the status toggle becomes binary and cannot be cleared back to no status.
Save Changes
Finalize your data entry by saving the area.
- Click Save changes to store all updates.
Important: Users with read-only access do not see the Save changes button.
Additional Information
- Occupancy only appears for rooms, not other types of areas.
- Marking a room as Vacant pauses its compliance activities until set back to In Use . Remember to update occupancy to avoid missed compliance tasks.
- Overriding inherited values shows an Overrides inherited value warning.
