Add assets

This article explains how to add an asset in the BriqSafe application, covering both initial placement and completing asset details. It is intended for engineers responsible for registering and managing equipment within a location.

Adding an Asset to a Location

Structures screen in the Residencial Serrano location allows managing building structures, with key actions including adding a new structure and editing or viewing details of existing ones via a dropdown menu.

Add an asset to register equipment for tracking and compliance during location setup or when new equipment is installed.

  1. From the Structures tree, use the row actions to add an asset, or open the floor plan editor and add from there.
  2. Select the desired Asset Type for the equipment you are adding.
  3. Fill in the dynamic compliance parameter form that appears based on the Asset Type.
  4. Enter the basic fields in the form such as Name, Serial Number, Manufacturer, Model, Code, and Description.
  5. Save your changes. The rule engine will then evaluate compliance and risk rules and generate the asset's control schema activities. Technical recommendations will be created where risk rules apply.

Note: Asset creation must be started from the Structures tree or floor plan editor, not by opening an area and then adding an asset. Choosing the correct Asset Type is important because it determines the compliance activities generated.

Adding an Asset on the Floor Plan

Place the asset at its exact position on a floor plan for visual location referencing.

  1. Open a Location, then a Structure, and select a floor to load its floor plan.
  2. Switch the floor plan to Assets mode.
  3. Open the Asset Library and select an asset type by browsing categories, Recently Used, or by search.
  4. Tap the desired position on the floor plan, or drag the asset type from the library onto the plan to place it.
  5. In the quick-edit panel, enter the asset's Name and required attributes, then confirm.
  6. The Asset Library remains open so you can continue placing additional assets without reopening it.

Note: The Asset Library and placement controls appear only at the floor level in Assets/Edit mode, and only asset types valid for the location are listed.

Completing an Asset's Core Details

After adding or placing an asset, complete its core details to record identity and network location.

  1. Open the asset to access its detail panel.
  2. In the General section, enter the required Asset Number manually.
  3. Optionally, enter a QR Code value or scan a code to link a QR label to the asset.
  4. Set the Network Position as appropriate.
  5. Confirm the read-only Location field.
  6. Use other sections in the detail panel as needed, including Parameters, Assessment, Linked Systems, Sensors, Linked Assets, and Cases.
  7. Save the changes to store the completed details.

Note: On the consultant web app, only Asset Number, QR Code, and Network Position fields are captured at this stage; manufacturer, model, serial number, and installation date fields are not shown here.

Adding Assets On-Site During a Visit

Record new areas or equipment discovered during field visits directly from the mobile app.

  1. Add a new area on-site if a previously unregistered room is found; it saves permanently and inherits its control regime from the parent structure.
  2. Add an asset inside that area by selecting its type, filling parameters, and linking systems.
  3. The rule engine generates the asset's control schema activities.
  4. These changes sync to the web app for review.

Note: On-site additions are permanent building configuration changes, not drafts. An asset added by an Inspector automatically approves, while one added by an Engineer enters a pending approval state.

Creating an Asset That Needs Approval

If you are an Engineer adding an asset directly on mobile, it enters the review queue automatically.

  1. Open a location, drill down to the room, and choose Add asset.
  2. Select Asset Type, enter the name and required information.
  3. Save the asset. It will be created in a pending-approval state and show a banner notifying this status.

The asset appears immediately in a reviewer's queue with no separate submit action required.

Note: There is no toggle to save as draft. The pending state depends on the creator's role. An approval-role user's assets are approved on creation.

Linking an Asset to Systems

Connect an asset to the building systems that serve it to ensure correct compliance activity generation.

  1. Open the asset's Linked Systems section.
  2. Choose Link system and select a system within the same location.
  3. The link appears on both the asset and the system.
  4. The control schema activities regenerate to reflect this connection.

Note: An asset can link to multiple systems, such as hot and cold water. Linking across different locations is blocked.

Linking an Asset to Other Assets

Record physical relationships between assets, such as a tap connected to a pipe.

  1. Open the asset's Linked Assets section.
  2. Select Link asset and pick the related asset within the same location.
  3. The link shows on both asset records.

Note: Each asset can have at most two asset-to-asset links. Attempting more than two is blocked and cycles are prevented.

Assigning a QR Code to an Asset

Attach a physical QR label to an asset record for easy scanning lookup.

  1. Open the asset's detail panel.
  2. Enter or scan the QR Code value into the QR Code field.
  3. Save the asset to store the QR code.

Note: Assigning a new QR code replaces the old one. QR codes must be unique among active assets at the same location. BriqSafe does not generate or print QR labels internally.

Editing an Asset Over Its Lifecycle

Update asset details or parameters as equipment changes or measurements are recorded.

  1. Open the asset and edit fields or update parameter values.
  2. Save to apply changes.

Note: Parameter edits trigger the rule engine to recalculate asset satisfaction and regenerate recommendations. All changes are recorded in the audit log with user, time, and field changes.

Deleting and Restoring an Asset

Remove an asset that is no longer in service, or restore it if deleted by mistake.

  1. Select the asset and choose Delete.
  2. Confirm the deletion. The asset is soft-deleted and hidden from active views.
  3. Use the undo toast immediately after deletion or an audit/admin restore later to recover the asset.

Note: Deleting requires delete permission, which is not available to Engineer roles. The deletion cascades to system and device links, control schema entries, and flags related jobs as archived-asset.

Duplicating an Asset on the Floor Plan

Quickly copy an existing asset when multiple identical items exist in the same space.

  1. Select the asset on the floor plan to show its action menu.
  2. Choose Duplicate. A copy is created beside the source, named with a (copy) suffix.

The duplicate inherits the type, compliance parameters, and system links but has a cleared QR code.

Note: Duplicate places a single copy at a fixed offset. Bulk duplication of multi-selections can partially fail and will show a message.

Attaching Photos to an Asset

Document the condition of an asset by attaching photos.

  1. Open the asset record.
  2. Upload or capture photos using the camera on mobile.

Photos appear as thumbnails attached to the asset.

Note: Photo captions are not supported.

Creating a Case from an Asset

Raise a case for non-conformity response linked to an asset.

  1. Open the asset's detail panel.
  2. Use the Create case action to start the case creation flow.

Note: An indicator shows if a case is already open on the asset. Only the Create case action is available; detailed case history on the asset is not supported.
