Start a visit from the location jobs tab

This article explains how to start a visit directly from the Locations tab and assign users to it. It is intended for Managers and other users who have scheduling permissions and are responsible for coordinating visits on location jobs.

Start a Visit from the Locations Tab

You can create a new visit on the Locations tab by selecting jobs and assigning one or more engineers. This lets you plan and group activities at a specific location efficiently.

  1. Open the Locations tab in the app or web interface.
  2. Select the desired Location and open its admin panel.
  3. Navigate to the Visits tab within the location panel.
  4. Locate or create a visit by selecting jobs or visit templates related to the location’s structures or assets.
  5. Assign one or more engineers to the visit. If needed, add or remove activity types for this specific visit occurrence only.
  6. Set the visit’s date and start/end times as required.
  7. Confirm the visit creation. A single visit is created containing all assigned jobs for the selected location.

When you create a visit this way, only this occurrence is affected by any changes in activities; the underlying visit template remains unchanged.

Assigning Users to a Visit

Assigning one or more engineers to a visit ensures they receive the visit in their queues and can complete assigned jobs.

  1. After selecting or creating a visit, open the visit’s detail panel.
  2. Use the Reassign action to pick different engineers if you need to change the assigned users.
  3. In the Reassign Visit dialog, select one or more workers who have access to the visit’s location.
  4. Confirm reassignment. The visit and its pending jobs move to the new assignees.

Note: Only workers with access to the location can be assigned. The system will reject reassignment attempts if any selected worker lacks permission to access the location.

Scheduling Visits Using Templates or Recommendations

You can also schedule a visit from the Locations tab using visit templates or planner recommendations, which group multiple activity types performed together.

  1. In the Scheduler, toggle the To plan badge to see visit-template occurrences distinctly from standalone activities.
  2. Open a suggested visit-template occurrence to review included activity types and job counts.
  3. Optionally add or remove activity types for this occurrence only, then set the visit date and start/end times.
  4. Assign one or more engineers and confirm to create the visit.

You can alternatively drag a visit template or a free activity from the planning sidebar onto a calendar cell to pre-fill and create a visit. Cross-client drops are blocked to prevent scheduling on incorrect locations.
