This article explains how to add an ad-hoc job during a visit for an Asset that was not originally scheduled. It is intended for Engineers working on-site who discover new or unregistered equipment requiring a job without returning to the office.

Add an Ad-Hoc Job During a Visit
Use this process to create a new job on-site for an Asset that was not on the schedule.
- From the current job list during a visit, tap New job (Add job) .
- Choose the required Activity type for the job.
- Select one or more Assets from the hierarchy, or create a new Asset inline if the Asset is not already registered:
- Back in the job creation screen, with your Asset(s) selected, tap Add job to create the job or Add completed job to create and complete it in one step.
- The new job appears in the visit's job list grouped appropriately. Tap it to open the correct form for its activity type.
Note: The Add job and Add completed job actions require job-create rights. The inline Add asset option requires Asset-create permissions; if you lack these, the options will be greyed out with a no-permission message.
Important: When an Engineer creates an Asset inline, it automatically goes into a pending-approval state. There is no separate submission step — it immediately appears in the review queue for approval by an Inspector or higher role.
Create a New Asset Inline During the Visit
When discovering unregistered equipment during a visit, register the Asset so it can be tracked properly.
- From the current location view, drill down to the specific area or room.
- Tap Add asset .
- Select the Asset type relevant for the equipment.
- Enter the Name and any required attributes.
- Tap Save to create the Asset.
The asset will be flagged as pending approval and show a banner indicating this. It is automatically added to the review queue of users with approval rights (Inspectors or higher).
Important Considerations When Adding Ad-Hoc Jobs and Assets
- Opening the visit while online ensures the visit data (jobs, Asset details, control-scheme thresholds) is fully cached for offline use during the visit. Opening the visit only after losing signal may cause incomplete data.
- Adding a completed job inline requires selecting at least one Asset.
- An Asset created inline by an Engineer remains pending approval until reviewed by an Inspector or higher; it is not automatically approved.
- Adding new Areas or Assets on-site is a permanent building configuration change, not a draft.
- Without the required permissions, job and Asset creation options are disabled with a no-permission message.
Adding an ad-hoc job allows you to record work immediately when unexpected tasks arise, keeping your visit records complete and accurate without needing to return to the office.
