Manage vacant rooms, infrequently used assets and task orders

This article explains how to manage vacant rooms, infrequently used assets, and task orders by marking rooms or outlets as vacant or infrequently used. It is intended for engineers performing flushing and maintenance tasks in the app.

Mark a Job as Unable to Complete

When you cannot access an outlet or asset during a visit (for example, if a room is locked, equipment is broken, or the asset is not present), you should mark the job as unable to complete. This helps your back office track and follow up on such cases.

  1. Open the job related to the outlet or asset.
  2. Tap Unable to Complete.
  3. Type a reason of at least 3 characters in the Reason field. This is free text; you can describe the issue in your own words.
  4. If helpful, add a note and attach an evidence photo.
  5. If the asset is missing, tick The asset is not present at this location. Note that depending on your role, this action may instantly mark the asset as missing or only create a draft for approval.
  6. Tap Submit to record the job as Skipped and continue your visit.

Note: Marking a job as unable to complete records it as skipped. There is no separate status named "unable to complete" in the system. Also, if the missing asset step fails, the job is still skipped but the asset status is not updated.

Manage Flushing Tasks with Vacant or Infrequently Used Assets

When performing flushing tasks, it’s important to handle outlets in vacant rooms or assets that are infrequently used appropriately to maintain accurate task tracking.

Perform a Flushing Timer Job

Use the flushing timer job to run an outlet for the required duration with the app enforcing the timing.

  1. Open the flushing timer job.
  2. Review the Prescribed flush duration displayed.
  3. Open the outlet and tap the flush-timer start button.
  4. Wait while a countdown runs. During this time, the Complete Job button remains disabled.
  5. You can navigate away to other jobs; the timer continues running in the background.
  6. When the timer reaches Flush complete, close the outlet and tap Complete Job to finish.

Important: You cannot complete the flushing job before the timer finishes. The timer is authoritative and the server will reject any early completion attempts.

Understand Job Statuses in a Visit

Knowing the meaning of job statuses helps you manage tasks during a visit effectively.

  • Jobs start as Open (to do).
  • They become Completed once done.
  • Selecting Unable to Complete records the job as Skipped with your supplied reason.
  • Jobs flagged as Overdue are past their due dates.
  • When closing a visit, jobs that have not been touched are automatically committed and recorded for review.

Note: Once a visit is closed, committing job statuses cannot be undone.
