Set a replacement

This article explains how to assign a replacement worker when you are temporarily unavailable. It is intended for managers or team members responsible for handling visit assignments in BriqSafe.

Reassign a Scheduled Visit to a Replacement Worker

Use this procedure to move a scheduled visit to a different worker when the originally assigned person cannot carry it out.

  1. On the web Visits page, select the visit you want to reassign.
  2. Open the visit's actions menu and choose Reassign.
  3. In the Reassign Visit dialog, use the assignees field to pick one or more replacement workers.
  4. Confirm the reassignment by clicking Reassign.

Note that the visit and all its still-pending jobs will move to the new worker(s) immediately after reassignment.

Important:

  • At least one replacement worker must be selected.
  • The chosen worker(s) must have access to the visit's Location. The system enforces this and will reject invalid assignments.
  • Only visits with status Scheduled or In Progress can be reassigned. Completed or cancelled visits cannot.
  • Only pending jobs are reassigned. Jobs that are completed or already in progress remain assigned to the original worker.

Update a User’s Role or Access when Assigning Replacement

If the replacement worker requires different permissions or access to carry out the work, you may need to adjust their roles or access:

  1. Go to Users & Teams and select the user to open the Update User panel.
  2. Adjust their Role, Site Permissions, or Activity Category Permissions as needed.
  3. Save the changes by clicking Update.

Changes take effect immediately.

Role assignment notes:

  • Only an Owner can grant or remove the Owner role.
  • The Admin role can be assigned only by an Admin or above.
  • Other roles can be managed by anyone with user-management access.
  • Your organisation must always have at least one Owner; the last Owner role cannot be altered.
  • Changes to activity-category access update user permissions but do not reassign any jobs already scheduled to the user.
