Manage technical recommendations at location level

This article explains how to view, filter, annotate, and manage all technical recommendations across a Location. It is intended for users responsible for reviewing and controlling risk-assessment recommendations at the location level.

Note

Required role: Viewer. Specific actions may require Inspector or Manager roles as noted.

Reviewing Technical Recommendations Across a Location

To get a consolidated view of all technical recommendations for a Location, use the Site recommendations page. This lets you see and filter recommendations from all assets in one place.

  1. Open the Location you want to review.
  2. Select Recommendations in the Location menu to open the Site recommendations page.
  3. The list initially shows recommendations with the status Approved.
  4. Use the Filters panel to narrow down recommendations by Status (Needs Approval or Approved), Severity (Low, Medium, High, or Critical), or Structure.
  5. Select a recommendation to open its detail pane on the right side.

Note: Closed or dismissed recommendations are not displayed on this page. To review them, check the asset’s history.

Note: Viewing recommendations requires read access (Viewer role or higher).

Understanding and Managing Draft Technical Recommendations

Draft recommendations are automatically generated during an assessment when asset readings cross a threshold. They must be reviewed before becoming active work.

  1. Open the relevant entity (such as an asset) and go to its Technical Recommendations tab.
  2. Auto-generated drafts appear in the Drafts (auto-generated) section with an Auto-generated badge and status Needs Approval.
  3. Open a draft to view its Problem, Solution, Priority, and the Triggered by panel listing the parameter values that caused the draft.
  4. Recognize that a draft is only a proposal and is inactive until approved or dismissed by someone with edit rights.

Important: Thresholds are regime-specific, so drafts may appear on one location and not another even with similar readings.

Reviewing, Approving, or Dismissing Draft Recommendations

After drafts are raised, an Inspector or higher role must review them to activate or discard as appropriate.

  1. Open the draft recommendation to launch the Review recommendation dialog.
  2. Edit the Problem, Solution, and Priority fields if required.
  3. Choose one or more Suggested activities that describe the corrective work. Note that for drafts not tied to a structure, selecting at least one activity is mandatory.
  4. To approve, select Update & review or Approve. The status changes to Approved and the approver and timestamp are recorded.
  5. To discard the draft, select Dismiss and enter a dismissal reason (minimum 10 characters). The status becomes Dismissed.

Important:

  • Approving or dismissing requires edit access (Inspector or above). Users below Inspector see the review dialog as read-only.
  • Approving the same draft multiple times has no additional effect and ignores further edits.
  • Dismissing requires a meaningful reason.
  • Approval and dismissal actions are only available in the web app, not on mobile.
  • Deleting a recommendation is separate and requires Manager role.

Adding a Custom Technical Recommendation

To capture issues not detected automatically, an Inspector can add custom technical recommendations.

  1. On the relevant entity’s Technical Recommendations tab, select Add advice to open the New Recommendation form.
  2. Choose the applicable Entity Type and the specific Entity for which the recommendation applies.
  3. Enter the Problem description, recommended Solution, and set the Priority.
  4. Select one or more Suggested activities and attach evidence under Attachments if needed.
  5. Save to create the recommendation.

Note: All fields (Entity Type, Entity, Problem, Solution, Priority) are required. Custom recommendations follow the same lifecycle as auto-generated ones and require approval before scheduling.

Scheduling Approved Recommendations as One-Time Follow-up Jobs

Once approved, a recommendation must be scheduled for corrective work to assign engineers and due dates.

  1. Open the Location’s Recommendations tab.
  2. Select one or more approved recommendations.
  3. Add them to the Control Scheme as One-time activities, which distinguishes them from recurring work.
  4. Use the planner to assign a date and an engineer, creating the follow-up visit.

Important:

  • Approving a recommendation does not schedule it automatically; scheduling requires separate action and scheduling rights (Manager role).
  • Only approved recommendations can be scheduled; drafts must be approved first.
  • Scheduling a visit from the calendar or planner allows pre-filled visit creation for efficiency.

Deleting a Technical Recommendation

If a recommendation is raised in error or no longer relevant, a Manager can delete it.

  1. Open the recommendation.
  2. Choose the Delete option.
  3. Confirm in the Delete Recommendation dialog.

Note: Deletion is a soft delete; the record remains for auditing and cannot be fully erased. If deletion fails, the dialog remains open for retry.

Understanding Carried-Forward Recommendations in Follow-up Assessments

When starting a re-assessment, it is important to check what happened to recommendations from the previous assessment.

  1. During the new assessment, open the asset’s Technical Recommendations tab.
  2. Recommendations with completed follow-up work appear under Completed since last assessment.
  3. Open a completed recommendation to compare Before and After photos, review job results, and open the job itself if needed.
  4. Unfinished recommendations are still shown with a carried-forward label and remain in Approved status.

Note: Recommendations not yet completed are retained as outstanding work and not lost.

Performing a Technical Recommendation Follow-up Job

Take Measurement - Hot Tap screen allows users to input detailed hot water temperature data and comments for multiple pending measurement tasks, with an option to complete the job.

Engineers carrying out the scheduled follow-up job must record the work done and evidence on-site.

  1. Open the follow-up job, identifiable by a specific badge in the job list.
  2. Review key details such as finding description, recommendation text, priority, deadline, and target Asset.
  3. Perform the corrective action on-site.
  4. Add notes describing the work done and attach a photo if useful.
  5. Tap Complete Job to finish.

Important: There is no separate resolution selector or before/after photo pair. Outcome is recorded in notes and optional photo only. Completing the job may auto-close the recommendation when all linked jobs are done.

Automatic Closure of Completed Recommendations

Finishing all follow-up jobs linked to a recommendation automatically closes it.

  1. Complete the last outstanding follow-up job linked to the recommendation during a visit.
  2. The system checks and closes the recommendation once all suggested-activity jobs are done.

Note: If a recommendation has multiple activities, it stays open until the last job is complete.
