Enable tasks and control measures

This article explains how to enable and manage control measures for structures within your location, including key activities such as flushing, temperature checks, inspections, and maintenance. It is intended for inspectors and engineers responsible for setting up and performing compliance activities.

Viewing and Understanding the Control Schema

Begin by reviewing the control scheme to see every compliance activity for your location and its current status.

  1. Open the location and select the Control Schema tab.
  2. The scheme displays a flat list of activities sorted by frequency, including activity name, progress (completed/total), status badge (such as To do, In progress, or Done), and frequency.
  3. Use the status and activity-type filters to narrow down the list if needed.
  4. Note that this is a flat list without drill-down from location to structure to asset; each activity attaches to a single object like a structure, area, system, asset, or the entire location.

Adding and Managing Control Activities

Add control activities scoped per structure, area, system, or asset when custom tasks are needed beyond the auto-generated scheme.

  1. Navigate to the location's Control Schema tab and click Add activity.
  2. Select the object to which the activity will attach — this can be a structure, area, system, asset, or the whole location.
  3. Pick an Activity type. Only types valid for the location’s control regime will be shown. If your expected activity type is missing, check that the control regime is correctly configured and inherited.
  4. Choose the Frequency for the activity.
  5. Review the job estimate which updates as you define the scope.
  6. Save the new activity; it enters the To do state and becomes ready for scheduling.

Custom activities added this way can be deleted manually, but mandatory activities generated from compliance rules cannot be removed by hand.

Scheduling Tasks and Visits

Schedule control activities and group multiple tasks per visit for efficient on-site work.

Scheduling Visits from Templates

  1. Open the Scheduler and enable the To plan filter.
  2. Look for visit-template occurrences, which group several activity types sharing the same cadence.
  3. Open a template occurrence to see its activities and job counts.
  4. Optionally add or remove activity types for this occurrence only; changes do not affect the template itself.
  5. Set the date and start/end time for the visit.
  6. Assign one or more engineers and confirm scheduling.
  7. A single visit is created containing all its jobs.

Scheduling Standalone Recurring Activities

  1. Use the Scheduler with the To plan filter to list standalone activities awaiting scheduling.
  2. Select an activity to review details such as frequency, affected assets, and job count.
  3. Pick a date for the visit.
  4. If consultant sign-off is required after completion, enable Requires review after completion.
  5. Assign an engineer and confirm.
  6. The standalone visit is created, the activity moves from To plan to planned, and the next occurrence is automatically queued by the system.

Scheduling Technical Recommendations as One-Time Jobs

  1. Open the location’s Recommendations tab.
  2. Select one or more open recommendations to schedule.
  3. Each recommendation is added as a one-time activity to the control scheme.
  4. Assign a date and engineer in the Scheduler and create the visit, either grouped with other work or standalone.
  5. Completing all linked jobs automatically closes the recommendation.

Setting the Default Assignee for Activities

  1. In the location's Control Schema tab, open the activity you want to set an assignee for.
  2. Change the assigned engineer; this applies only to future scheduled visits.
  3. The previously assigned engineer is notified of the change.
  4. If you need to reassign already planned visits, do so individually from the Scheduler.

Performing Key Control Tasks On-Site

Control measures such as flushing and temperature checking require specific procedures during visits.

Flushing Timer Job

  1. Open the flushing timer job during a visit.
  2. Note the prescribed flush duration shown.
  3. Open the outlet and tap the flush timer’s Start button.
  4. The countdown runs, and the Complete Job button remains disabled while the timer runs.
  5. You can leave the form and continue other jobs; the timer continues in the background.
  6. When the timer reaches flush completion, close the outlet and tap Complete Job.

Note: The system enforces the full flush duration; early completion is not allowed.

Performing Temperature (Flushing) Jobs with a Thermometer

Take Measurement - Hot Tap screen allows users to input detailed hot water temperature data and comments for multiple pending measurement tasks, with an option to complete the job.
  1. Open the temperature job during a visit.
  2. Tap Connect Thermometer to pair a Bluetooth thermometer, or tap Fill Temperature Manually to enter readings manually.
  3. If using a thermometer, tap Start Measurement and run the outlet.
  4. The live reading streams and auto-stops when stable.
  5. Repeat for each required reading.
  6. Attach a photo if the activity requires evidence.
  7. Tap Complete Job to finish.

Note: Threshold breaches are not shown during data entry but are evaluated afterwards. Completion is never blocked by out-of-range readings.

Performing Follow-Up Jobs for Technical Recommendations

  1. Open the follow-up job, indicated by a special badge in the job list.
  2. Review the finding, recommendation, priority, deadline, and target asset.
  3. Perform the corrective work on-site.
  4. Add notes describing the work performed and attach a photo if useful.
  5. Tap Complete Job.

Note: Completing all linked follow-up jobs automatically closes the associated recommendation without manual steps.
